For one-step scanning of paper files and documents, you can initially opt to digitize existing files. You’ll get an individual digitization strategy and expert support on every step of the way.
We’ll collect the documents, prepare them, digitize them, and link them to files according to your specifications so that all your HR documents arrive safely and professionally at their new destination in the digital employee files.
Afterwards, all you have to do is decide what to do with the paper files: store them, shred them, or return them to their owners.
Scan2Employee File
We’ll supply you with an app so that you can easily and efficiently store paper documents – sent by government bodies, for example – in the digital employee file in digital form: With our Scan2Employee File scanning software, you can repurpose your existing multifunctional devices.
The scanning device directly triggers the archiving process, and the software means you only need to make a few manual entries. This reduces the likelihood of errors and cuts costs.
Barcodes can be added to paper documents during scanning to serve as placeholders in the digital employee file. This can be useful if the document is still missing a signature. When the document is signed and scanned, the software recognizes the barcode and automatically files the document in the correct employee file.
Documents can also be scanned in batches. In such cases, the scans end up in the employee file’s general inbox. They are then sorted and assigned manually. Otherwise, Centric’s AI-supported Intelligent Classification Service can be used to automatically categorize and assign the documents.
