The project team became aware of Centric at „DSAG-Personaltage“ , the most important trade fair for SAP user companies that use HR solutions from Walldorf. After carefully evaluating other providers, the decision was finally made to introduce Centric Employee File. The implementation was to take place in parallel with the introduction of SAP SuccessFactors. The decision to merge both projects had strategic reasons. Connecting Centric Employee File first to the local payroll system and then later to SAP SuccessFactors would have meant double the effort, which the company wanted to avoid.
Centric Employee File enables individual customization
In spring 2024, Centric Employee File was fully set up for the locations in Germany. At the customer‘s request, Centric supplemented the standard functions with some individual adjustments, including the adaptation of roles and functions, the implementation of the dual control principle when deleting documents and the way in which authorizations from SuccessFactors apply to data access.
Only then did the scanning process of the 19,000 personnel files in Germany begin, which was successfully completed in spring 2025. During this time, the digital documents were successively and automatically transferred to the new personnel files via a secure SFTP server. The project team created two ways for HR specialists to access files: via quick access using a button on the SuccessFactors homepage or via the direct jump in the employee profile in SAP SuccessFactors.
„The SuccessFactors integration works extremely well and has been very well received by our HR specialists. They only have to search for a person once in SuccessFactors and can then jump directly to the file to upload documents, for example,“ says Christina Scheidt, in-house lawyer in the Corporate Human Resources department at DACHSER SE. The time saved in the day-to-day work of the HR department through full-text searches and location-independent access to documents is considerable.
The role and authorization concept enables better and more transparent control of access to personnel files and the logistics company complies with all data protection requirements by adhering to defined deletion deadlines.
